Prints at actual size. In the print dialog set scale to 100% (or "Actual size"), not "Fit to page".

How to make a service reminder sticker

  1. Pick the service. Oil change fills in a 6 month and 5,000 mile interval; HVAC filter uses 3 months. Change either to match the job.
  2. Add your details. Business name, phone and an optional logo go at the top of every sticker.
  3. Enter the service date and mileage. The next due date and next due mileage are calculated and printed on the sticker.
  4. Add a booking QR code. Paste your online booking or phone link so the customer can book the next visit with one scan.
  5. Choose a shape and print. Square 2 x 2 in for windshields, 2 in round or 3 x 2 in rectangle. Print at 100% scale. Choose mirrored for static cling stickers that are read through the glass.

Oil change intervals to put on the sticker

The old 3,000 mile rule comes from conventional oil in older engines. Most cars today run much longer. Always go by the owner's manual and the oil the shop actually used:

Scroll table →
Oil typeTypical intervalTime limit
Conventional3,000 to 5,000 miles3 to 6 months
Synthetic blend5,000 to 7,500 miles6 months
Full synthetic7,500 to 10,000 miles6 to 12 months
Severe use (towing, short trips, dust, extreme heat)Use the manual's severe schedule, often half the normal miles3 to 6 months

Print both a mileage and a date on the sticker. A car driven rarely still needs fresh oil once the time limit passes, because oil breaks down with age and moisture.

HVAC filter and equipment service intervals

Scroll table →
ServiceCommon interval
1 inch HVAC filterEvery 1 to 3 months
4 to 5 inch media filterEvery 6 to 12 months
HVAC tune upOnce a year, cooling in spring and heating in fall
Whole house water filterEvery 3 to 6 months
Standby generatorEvery 12 months or 200 hours

Homes with pets, allergies or construction dust need filters changed at the short end of the range. A sticker on the furnace or air handler tells the homeowner exactly when, and who to call.

Where to put a service reminder sticker

For cars, the standard spot is the top left corner of the windshield on the driver side, where it can be read from the seat without blocking the view. Check local rules first: some states limit what can be stuck to a windshield, which is why many shops use a removable static cling. For HVAC, place it on the front panel of the furnace or air handler next to the filter slot. For water heaters, filters and generators, put it at eye level beside the service access panel.

Which sticker paper to use

  • Static cling (inside a windshield): no adhesive, peels off cleanly and reuses. Print mirrored so the text reads correctly from outside the glass, or normal if it is read from the driver seat.
  • Clear or white vinyl: for engine bays, furnaces and equipment. Survives heat and moisture far better than paper.
  • Matte paper labels: fine indoors on equipment that stays dry. Inkjet ink can run when wet, so laser print where you can.

Sticker sheets in 2 inch squares and circles are sold by most label brands; this tool lays the stickers out at true size, so pick a sheet with matching dimensions or cut them out by hand.

Why put a QR code on a service sticker

A reminder sticker only brings the customer back if calling you is easier than searching for another shop. A QR code linking to your online booking page, or a tel: link, turns the reminder into a one scan booking. Keep the link short so the code stays simple enough to scan at 0.55 inches, and test it from a printed sticker before a full run. The QR code size chart covers how small a code can print and still scan.

Frequently Asked Questions

What should a service reminder sticker include?

Your business name and phone, the service done, the next due date, the next due mileage for vehicles, and optionally the oil type and a QR code to book. Those are the details a customer needs to come back to you.

Should an oil change sticker use 3,000 or 5,000 miles?

Use what the owner's manual and the oil used call for. Most modern cars on synthetic oil go 5,000 to 10,000 miles. 3,000 miles is only typical for conventional oil or severe driving.

Is it legal to put a sticker on a windshield?

Most states allow small stickers in the corners of the windshield outside the driver's main view, but the rules vary. A removable static cling in the top corner is the common safe choice.

How do I print stickers at the right size?

Print at 100% or "Actual size" in the print dialog, not "Fit to page". Print one sheet on plain paper first and hold it against your label sheet to check the size and alignment.

Can I add my logo to the sticker?

Yes. Upload a logo and it is placed above your business name. A simple, high contrast logo prints best at sticker size.
