Free Invoice Generator: interactive tool from Toolsque

Six documents, one tool

Most people arrive here wanting an invoice, and that is what the tool is usually used for. But the same builder produces six different documents, and picking the right one matters more than the layout does, because they mean different things to the person receiving them and, in some cases, to a tax authority.

  • Quote: a fixed price you are committing to. Once accepted it is close to a contract.
  • Estimate: your best guess at a price that may move. Not a commitment.
  • Invoice: a demand for payment for work already done or goods already sent.
  • Pro forma invoice: a commitment to supply at a stated price, issued before the sale completes. Common in export and B2B.
  • Receipt: confirmation that money has actually been received.
  • Credit note: cancels or reduces an invoice you have already issued.

Switch between them in the document type dropdown. So the same builder works as a quote generator, an estimate generator, a pro forma invoice generator or a credit note generator, and everything else stays the same: your logo, currency, tax handling and the PDF at the end.

What is the difference between quote and estimate?

These two get used interchangeably and they are not the same thing, which is where a lot of disputes start.

A quote is a fixed price. You are saying: this is what it will cost, and if you accept, that is the number. In many jurisdictions an accepted quote is treated as a binding agreement, so you carry the risk if the work takes longer than you thought.

An estimate is an informed guess. You are saying: based on what I know now, it should be around this. The final figure can move, and the client should expect that. If the job has unknowns behind a wall, under a floor, or inside someone else's codebase, this is the honest document to send.

Whichever you are sending, the quote maker and estimate builder here are the same screen, so you can switch the document type without retyping the line items. The practical rule: quote when you can see the whole job, estimate when you cannot. Sending a quote for work with genuine unknowns is how people end up finishing at a loss, and sending an estimate for a clearly defined job makes you look unsure.

Pro forma invoice: when you actually need one

A pro forma invoice is not a real invoice. It is a commitment to supply, at a stated price, issued before the transaction completes. Nothing is owed yet, and it does not go in your books as revenue.

The three situations where you genuinely need one:

  • Export and customs. Customs authorities and freight forwarders routinely require a pro forma to assess duties before goods ship.
  • Payment in advance. A buyer's finance department often cannot release funds without a document to raise a purchase order against, and a real invoice would be premature.
  • Import licences and letters of credit. Banks ask for one as evidence of the intended transaction.

It should say pro forma invoice clearly, carry a validity period, and be replaced by a commercial invoice once the goods ship. Issuing one and never following up with the real invoice is a common bookkeeping mess.

Credit note: correcting an invoice you already sent

Once an invoice has gone out and entered your records, you do not delete it. You issue a credit note that cancels or reduces it, so the paper trail shows what happened rather than hiding it.

You need one when you have overcharged, when goods came back, when you have agreed a discount after invoicing, or when an invoice was simply wrong. It should reference the original invoice number, state the amount being credited, and give the reason.

A credit note for the full amount cancels the invoice. For part of it, the balance remains payable. Either way both documents stay in your books, which is exactly what an accountant or an auditor expects to find.

Receipts: proof that money arrived

An invoice asks for payment. A receipt confirms it arrived. They are different documents and plenty of small businesses send only the first, then get asked for the second weeks later at tax time.

Issue one whenever a client pays, particularly for cash, where there is no bank record either side can point to. It should carry the date payment was received, the amount, the method, and the invoice it settles.

The simplest way to create any of them online

Most invoice generators want your email, your business details, a paid plan, or all three. This one doesn't. It runs entirely in your browser, costs nothing, and never sends a single byte of your data to any server. Open the tool, fill in your details, hit print, and you're done.

Whether you're a freelancer in Karachi sending a quote, a shop in Dubai issuing a receipt, a designer in Mumbai billing a client, or a small business anywhere in the world: this tool is built to be fast, clean, and out of your way.

Once the invoice is out, two things usually come up next. If the client pays late, check what you can charge first: most states cap late fees and require them to be written into the agreement. And if you want to get paid faster, adding a Venmo or Cash App QR code to the invoice lets the client pay by scanning instead of typing account details.

Invoice requirements that hold up legally

A valid invoice in the US has no federal template mandate, but IRS Publication 463 requires that any document supporting a business deduction show the date, amount, payee, and business purpose. Miss any one of those four fields and the deduction is disallowable on audit. For B2B transactions over $600 in a calendar year, the payer must also collect a W-9 before payment: the invoice itself should carry your EIN or SSN so the payer can file a 1099-NEC without chasing you later. In the EU, VAT Directive 2006/112/EC mandates a sequential invoice number, the supplier's VAT registration number, the tax rate applied, and the gross-to-net breakdown on every document. Omitting the VAT number alone voids the recipient's right to reclaim input tax.

Net payment terms have direct cash-flow math attached. Net-30 means you float the buyer's working capital for a month interest-free. At a 6% annual cost of capital, 30 days of float on a $5,000 invoice costs you roughly $25. Switching to Net-15 halves that cost. Early-payment discounts of 2/10 Net-30 (2% off if paid within 10 days) translate to an annualized rate of approximately 36.7%: almost always worth it for the payer, which is why large buyers reject them. If you bill recurring clients, use a consistent invoice date (e.g., the 1st of each month) so accounts-payable teams can batch-process without exceptions.

Late fees, interest, and what you must disclose upfront

Most US states cap late-payment interest between 1% and 1.5% per month (12 to 18% annually) for commercial invoices. California allows up to 10% per annum unless a higher rate is stated in a signed contract. Charging interest without prior written disclosure: on the invoice itself or in a contract: is unenforceable in most jurisdictions. State the daily rate, not just the monthly figure, to avoid ambiguity on partial months.

This tool does not calculate sales tax obligations, GST, VAT rates, or currency conversion. It outputs a document, not a tax return. Verify applicable tax rates with your jurisdiction before billing cross-border clients.

Worked example: freelance design project

Scenario: 40 hours at $95/hour = $3,800 base. Stock-image reimbursement: $220. Subtotal: $4,020. State sales tax on services (Texas, 6.25%): $0: Texas exempts most professional services. Total due: $4,020. Terms: Net-15 with 1.5%/month late fee disclosed in the footer. If the client pays on day 20 (5 days late), the fee is $4,020 × 0.015 × (5/30) = $10.05. Round to the nearest dollar on the follow-up invoice. For payment collection via peer-to-peer apps, a Venmo or Cash App QR code embedded in the PDF eliminates manual lookup errors on the payer's end and reduces payment lag by an average of 1.8 days according to freelancer payment studies.

Frequently Asked Questions

Is this invoice generator really free?

Yes: 100% free, with no hidden costs, no signup, no usage limits, and no watermark on your invoices. Use it as much as you want.

Do I need an account?

No. Nothing to sign up for, no email needed, no login. Just open the page and start working.

Is my data private? Where does it go?

Your invoice data stays entirely in your browser. Nothing is uploaded, sent to a server, or stored in the cloud. When you click "Save," the JSON file is downloaded directly to your device. We can't see your invoices: even if we wanted to.

How do I download my invoice as a PDF?

Click the "Print / PDF" button. In the print dialog, change the destination from your printer to "Save as PDF." This works in Chrome, Firefox, Safari, and Edge: no extension or extra software needed.

Can I add my company logo?

Yes. Click the "Logo" button in the toolbar and choose a PNG, JPG, SVG, or GIF (up to 2MB). It appears in the invoice header and prints with the document.

What is the QR code used for?

You can encode any text: typically a payment link or wallet ID. Examples: PayPal.me/yourname, a Stripe payment link, your easypaisa or JazzCash number, a UPI ID, an IBAN, or even a vCard. Your client scans it with their phone camera and pays you instantly.

Can I edit a saved invoice later?

Yes. When you click "Save," the tool downloads a JSON file with every detail of your invoice (including logo). Later, click "Load," choose that file, and the invoice reappears exactly as it was. Perfect for recurring clients or templates.

What currencies are supported?

USD, EUR, GBP, INR, PKR, JPY, AUD, CAD, AED, and SAR. If you need another currency, contact us: adding one takes minutes.

How does the watermark work?

Toggle the "Watermark" pill at the top. A prompt asks for your text: type PAID, DRAFT, VOID, COPY, UNPAID, CONFIDENTIAL, or anything you want. The watermark appears diagonally across the document and prints with it. Click the watermark itself to change the text anytime.

Does it work offline?

Once the page is loaded, most features work without internet. The QR code library is cached by your browser after first use, so it works offline too. You can also save the HTML file locally and use it without any internet connection.

What's the difference between an invoice, quote, estimate, and pro-forma?

Invoice: a final bill for work or goods delivered. The client must pay it.
Quote: a fixed price offer before work begins. Locked in if accepted.
Estimate: an approximate price. The final amount may change.
Receipt: confirms a payment has already been received.
Pro Forma: a preliminary invoice sent before delivery, often used for customs or advance payment requests.
This tool creates all five: pick from the dropdown.

Can I use this in Pakistan, India, or the Gulf region?

Yes. PKR, INR, AED, and SAR currencies are built in. QR codes work with easypaisa, JazzCash, UPI, IBANs, and any payment link. The tool is fully suited for freelancers, small businesses, and shops across South Asia, the Middle East, and beyond.

Can I customize the invoice template or colors?

The current template is fixed for clarity and professionalism. If there's demand for color or layout options, we'll add them: let us know what you need.

Will my invoice number auto-increment?

Not automatically (since nothing is stored between sessions for privacy reasons). But you can manually set any number: 0001, INV-2026-042, whatever format your business uses.
