QR Code Menu for Restaurant Tables: Print Sizes, Lamination, and Updates Without Reprinting

The best QR code menu for restaurant tables is a static QR code, printed at 3 cm square or larger, pointing to a menu page on a domain you control. Set it up that way once and you can change prices, dishes, and specials for years without reprinting a single table tent.

That one sentence hides four decisions that sink most setups: the format of the menu itself, the address the code points to, the size of the print, and what the laminate does under dining room lights. Here is each one with real numbers.

PDF menu or web page menu

The code opens one of two things. A PDF is fast to produce because you already have the print file. A web page takes more setup but treats phones far better.

The PDF problem is zoom. A menu laid out for a letter or A4 sheet, 210 to 216 mm wide, renders on a phone screen that is roughly 65 to 75 mm wide, so everything appears at about a third of its designed size and guests pinch and drag sideways for every column. Scanned PDFs make it worse: a photographed page often weighs 3 to 8 MB and can take several seconds to load on weak indoor cellular, while a text-only menu page usually stays under 200 KB and appears in about a second.

A web page reflows to the screen, so 16 px body text stays readable at 16 px. It also works with screen readers and lets search engines index your dishes. Point the code at an address you control

Whatever the format, the code should encode a URL on your own domain, something like yourplace.com/menu. Never print a third-party short link on physical stock. If the shortener changes its pricing, purges inactive links, or shuts down, every tent in the room dies on the same day, and mass reprinting is the exact cost this whole setup exists to avoid. Set error correction to level Q. ISO/IEC 18004 defines four levels: L recovers roughly 7 percent of damaged modules, M about 15 percent, Q about 25 percent, and H about 30 percent. A code that lives on a table gets wiped, splashed, and scratched daily, so the bigger buffer at Q earns its slightly denser grid.

Then keep the URL short, because length sets that density. At level Q, a 26 character address like https://yourplace.com/menu fits a Version 3 code, a 29 by 29 module grid. Add tracking parameters and a 60 character URL forces Version 5 at 37 by 37 modules. On a 3 cm print that shrinks each module from about 1 mm to 0.8 mm, and fat modules scan faster through a scratched laminate and a greasy camera lens. Print size: the actual numbers

The working rule: minimum code width is about one tenth of the scanning distance. A seated guest holds a phone 25 to 30 cm from a table tent, so 3 cm is the floor and 4 cm buys margin for older cameras and dim corners.

At any size, protect the quiet zone. ISO/IEC 18004 requires a clear margin of 4 modules on every side of the code, which works out to roughly 4 to 6 mm at tent sizes. A decorative border, a wood grain background, or a photo running tight against the code eats that margin and kills the scan. Print at 300 DPI minimum, or use the SVG.

Lamination and cleaning

A busy table gets wiped 20 to 50 times a day, and plain paper tents go soft within a week of sanitizer spray. Laminate every tent, but in matte, never gloss. Gloss laminate is the most common self-inflicted failure in restaurants: a pendant light bounces a hot white spot off the surface, the camera reads glare where modules should be, and scans fail at exactly the tables with the nicest lighting. Matte film scatters that light and costs about the same, typically a 75 to 125 micron pouch.

Laminated codes shrug off alcohol wipes; ink printed straight onto uncoated card smears. Replace any tent with damage across one of the three large corner squares. Those are the finder patterns, and no error correction level can rebuild them. Change prices without reprinting

The printed code stores nothing except the URL. Everything behind the URL can change: raise three prices, pull a dish, add the weekend special, and every tent in the building updates the moment you save. That is the entire economics of a QR code menu for restaurant service. Reprinting and relaminating 40 tents costs real money and a staff afternoon; editing a page costs nothing.

The single rule is that the URL must never move. With a web page, edit the page in place. With a PDF, overwrite the file at the same path rather than uploading menu-v2.pdf beside the old one. Change the address by one character and every printed code points at last season's menu or a 404. Regenerate and reprint the code only when the URL itself changes, never for a content change.

Keep some paper menus

Some guests arrive with no smartphone, a dead battery, no signal in a basement dining room, or eyesight that makes a phone menu genuinely hard work. Keep a stack of paper menus at the host stand, print a large-type version, and train staff to offer them without being asked. The code should be the default path, not a wall.

Why menu codes fail on real tables

  • Glare: gloss laminate under warm downlights reflects a white hot spot into the camera. Switch to matte film or angle the tent.
  • Too small: a 2 cm code squeezed onto a business card tent breaks the one tenth rule at normal seated distance.
  • Low contrast: dark brown ink on kraft card, or a light code on a dark background to match the interior. Many phone cameras refuse inverted codes outright.
  • Dead destination: the menu file moved and the code did not. The code is fine; the URL is not.
  • Scratched finder pattern: damage to a corner square is fatal. Replace the tent.
