How to make a QR code for a PDF
- Put your PDF online: upload it to your website, Google Drive (Share → Anyone with the link), Dropbox, or any host that gives a public link.
- Copy the public link: it should open the PDF directly in a browser without asking anyone to sign in.
- Paste it into the box: the QR code updates instantly. Scanning it opens your PDF.
- Brand it (optional): add a logo, set colors, and choose dot and corner styles to match your document.
- Download PNG or SVG: PNG for quick prints, SVG for menus, flyers, and packaging that need sharp scaling. Test the scan before you print.
Link a PDF to a QR code
A QR code can't store an entire PDF. The format holds only a small amount of text, and a document is far too large. What it stores instead is a link to your PDF. Host the file somewhere public, paste that link here, and the QR code opens the document on any phone. It's how restaurant menus, product manuals, event brochures, and résumés get onto a printed page with a single scan.
Where to host the PDF first
Any public URL works. Your own website is best for control; Google Drive works if you set sharing to "Anyone with the link"; Dropbox and OneDrive give direct links too. The test is simple: open the link in a private browser window: if the PDF loads without a login prompt, the QR code will work for everyone who scans it.

Menus: one code per table opening the current menu. Brochures and spec sheets: on packaging or shelf edges. Manuals and instructions: printed on the product or its box. QR code capacity limits and PDF URL length
A standard QR code at error-correction level L stores up to 4,296 alphanumeric characters. Most cloud storage share links (Google Drive, Dropbox, OneDrive) run 60–120 characters - well inside that ceiling. URL shorteners push that to under 30 characters, which lets you use error-correction level H (30% damage recovery) without inflating the QR module count. Dense QR codes printed below 2 cm × 2 cm fail scanner tests at typical arm-scan distances of 25–40 cm; keep minimum print size at 3 cm × 3 cm for reliable decode. If your PDF host generates a URL over 300 characters, shorten it before encoding - long URLs force version 15+ QR codes, which require higher-resolution print output (minimum 300 DPI) to stay scannable.
File size, load time, and scanner abandonment
QR code scanners on mobile open the PDF URL in a browser. If the PDF exceeds 5 MB, mobile users on a 4G connection (average 20 Mbps download in the UK, per Ofcom 2024) wait roughly 2 seconds before the file starts rendering. PDFs above 15 MB routinely trigger browser memory warnings on low-end Android devices with 2–3 GB RAM. Compress PDFs before hosting: Adobe Acrobat's "Reduce File Size" output targets around 150 KB per page for text-heavy documents. Scanned image PDFs run 400–800 KB per page uncompressed; running them through a PDF optimizer with JPEG compression at 85% quality drops that to 80–120 KB per page with no visible quality loss at 150 DPI screen rendering.
Static QR codes and link rot risk
This tool generates static QR codes - the URL is baked into the pattern at generation time. If the hosted PDF moves or the sharing link expires, every printed QR code becomes permanently dead. Google Drive share links do not expire by default, but Dropbox shared links on free accounts expire after 30 days of inactivity. OneDrive anonymous share links expire after 60 days unless the tenant admin sets a longer policy. For print runs over 500 units or materials with a shelf life beyond 3 months, host the PDF on a domain you control and point the QR code at a stable path (e.g., yourdomain.com/docs/spec-sheet.pdf). This eliminates third-party expiry risk entirely. Google Drive link setup, click by click
Worked example: a 4 page restaurant menu scanned at 2.4 MB can compress down to roughly 600 KB, small enough to open fast on cellular. From there:
- Upload the PDF at drive.google.com, right click it, choose Share, then Share again.
- Under General access, click Restricted and switch it to Anyone with the link. Leave the role on Viewer.
- Click Copy link, then Done.
- Paste the link into the generator above. For a 3 x 3 cm sticker at 300 DPI, use the PNG at 354 x 354 px or larger.
The Restricted default is the silent killer: the code works on your phone because you are logged in, while everyone else hits a request-access page. One caveat that survives correct settings: some managed Google Workspace accounts still show outside viewers a login prompt, so check on a device that is not signed into that workspace.
Viewer link or direct download link
Share hands you a viewer link in the form drive.google.com/file/d/FILE_ID/view. Keep it for menus and flyers: the PDF renders in the browser with no save step. For manuals or forms people need on their device, rewrite it as drive.google.com/uc?export=download&id=FILE_ID to force a direct download. One failure mode: files above roughly 100 MB skip Drive's virus scan and show a warning page first, which stalls many scanners. Stay far below that, or self host.

Why the version column matters: at level M error correction, version 3 is 29 modules per side and version 6 is 41 modules per side. Squeezed into the same 3 cm square, each module shrinks from about 1.0 mm to 0.7 mm, and finer modules are what fail on cheap prints. Shorter link, coarser grid, easier scan. Five minute test before you print
- Scan the final artwork from 25 cm, then again from 40 cm.
- Use two readers: the iPhone Camera app and Google Lens on Android.
- Scan it on screen, then on a matte printout, since gloss glare kills contrast.
- On cellular data, confirm the PDF opens in under 4 seconds.
